Why does the project team require a project scope statement prior to planning
procurements?
The project team is led by a statement of the project’s scope as it is being successfully
carried out. A project team normally completes establishing client requirements and the majority
of the project planning to understand what are the genuine project demands before effectively
preparing for purchasing and acquisition of materials and services. The project team needs to be
aware of the project scope, which was described in the project charter as everything that will and
won’t be done to achieve the stated requirements. A project manager should be able to decide
whether or not to buy after identifying the needs and, if so, what to buy and in what amount.
(Kloppenborg, 2019, p.431).
What is the difference between efficiency and effectiveness? Give an example of
something that is one but not the other.
Processes’ efficacy and efficiency can both be quantified. The ratio of outputs to inputs is
known as efficiency. A process that is more effective requires fewer inputs to produce the same
amount of outputs (Kloppenborg, 2019, p.405). For instance, it would be a much more effective
use of time to hire an experienced mason to place the bricks rather than someone who needs
assistance. The degree to which a process is producing the anticipated deliverables is its
effectiveness (Kloppenborg, 2019, p.405). For instance, making a bank app better to accept faceID rather than manually writing the password was incredibly successful with consumers.
Give specific examples of risks on a project that are within the team’s control,
partially within the team’s control, and outside the team’s control. Tell how you
would deal with each.
When building a website, a website is usually hosted on a third-party cloud service like
Amazon Web Services. If the AWS usage for a website is low, it can be increased by the project
team and totally within control of the team to increase or decrease as needed. If the website has a
risk of crashing, AWS allows hosting the website in two locations. This risk can be anticipated
and the project team can setup two locations to host the website, but however not control the
crashing of the website on either of the locations and hence partially within the control of the team.
The project team cannot control, if AWS decides to shut down the company and hence the website
will have to be taken down.

1. Why does the project team require a project scope statement prior to planning procurements?
The project scope statement describes project goals and deliverables in detail. The scope of the
project includes expectations out of the project, project goals and things that won’t be included
in the project. A project team usually identifies customer requirements and most of the project
planning to understand what the true project are needs in order to conduct the project
effectively. (Kloppenborg,2022) A procurement strategy is designed by ensuring that proper
products and services are bought for the project and hence project needs a scope statement.
A procurement strategy is defined by the products and services that will be required to be bought in order
to complete the project and the criteria using SMART principal for selecting the best dealer selling the
products. A scope statement also helps in defining procurement schedule and project costs, so it is
important to define scope first before entering procurement planning.
1. What is the difference between efficiency and effectiveness? Give an example of something that
is one but not the other.
A project manager needs to utilize resources efficiently and effectively to keep the project on budget as
well as complete in timely manner. (Kloppenborg,2022) When things are completed as planned, that leads
to greater efficiency. Doing the right things leads to success. Completing the tasks in timely manner
without any errors leads to effectiveness in the project. Driving a car at the speed limit on a highway but
not getting there any quicker than a vehicle that is driving 10 mph above the limit would be an example of
something that is efficient but not effective. A marathon runner is an excellent illustration of something
that is both effective and inefficient. Although they have reached the finish line, they are not doing this in
the most efficient manner.

team’s control, and outside the team’s control. Tell how you would deal with each.
Risks that are within project team’s control would include not documenting and monitoring change
request during the project and issues with isolating problems within the project and rescheduling
activities. I would deal with the problem of not documenting change request by communicating with my
team how important it is to track these changes and the impact they can have on other aspect of the
project is they are not documented and monitored. I would explain this is a policy and requirement of the
project and is something that must be taken seriously. I would address the issue of not isolating problems
by showing the impact that allowing problems to occur and not be addressed has on the project schedule
and deadline. I would take a role of showing exactly how a problem can be isolated within a project and
mitigated to ensure project scheduling and resource scheduling is not impacted.
Risks that are partially within the project team’s control would include team commitment and motivation
and issues with escalating problems within the project. I would ensure my project team understands the
goal of the project and the key roles that each member has in ensuring the project is completed
successfully. Furthermore, I would ensure my team members are recognized for their work and rewards
are given for meetings objectives and milestones within the project. In response to the issue with carefully
escalating problems, I would provide my team with the process that is used to escalate problems within
the project and the proper way to approach the problems. I would also explain the importance of
escalating issues when needed and how team members should feel comfortable relaying this information.
Risks that are outside of the project team’s control would include the inability and reluctance of project
stakeholders to agree on changes and nationwide shortages of material. I would address the stakeholders
and ensure that the project will meet each of their expectations and that we appreciate their willingness
and investment within the project. I would host a meeting with all stakeholders to allow them to discuss
their indifferences with the project changes to seek a consensus and agreement. I would deal with the
nationwide shortage of material problem by communicating with my superiors and offering advice as to
how the project can progress or address the opportunity of using substitute materials.
